1. Information We Collect

We collect personal and sensitive information necessary to provide coaching services:

  • Contact & Scheduling Information: Your name, email address, phone number, and meeting preferences provided when booking a session through our Google integration.

  • Payment Information: Your billing name, address, and transaction details collected securely through PayPal. We do not store or directly process your credit card or financial account numbers. 

  • Coaching & Sensitive Information: Any personal health, lifestyle, relationship, or mental well-being information you choose to share during video consultations or within pre-session questionnaires.

  • Technical Data: IP addresses, browser types, and cookie identifiers automatically generated when you interact with our website.

2. How We Use Your Information

We use your data strictly to manage your coaching journey, including:

  • Scheduling, modifying, or confirming coaching appointments via Google Calendar.

  • Delivering face-to-face video and audio coaching consultations via Google Meet.

  • Securely processing service payments, invoices, or subscriptions through PayPal.

  • Sending automated email reminders, follow-up coaching notes, or administrative notifications.

3. Third-Party Disclosures & Overseas Data Transfers

We do not sell or rent your personal information. However, to operate an online practice, data is shared with our trusted software sub-processors:​

  • PayPal Australia Pty Ltd: Manages payment processing. Your transaction details are stored securely across global banking networks, which may include servers located outside of Australia.

  • Google LLC: Manages scheduling and video communication data via Google Meet and Google Calendar. While Google operates server hubs within Australia, certain account metrics and diagnostic log data may be stored or transferred overseas. 

By using our services, you consent to the cross-border transfer of your information to these cloud service infrastructure providers.

4. Data Security and Confidentiality

We take your privacy seriously and employ strict safeguards to protect sensitive coaching records:

  • Video Privacy: Google Meet sessions are encrypted in transit and are never recorded without your explicit, prior written consent.

  • Digital Access Control: All booking dashboards, email communication channels, and digital coaching notes are secured behind strong passwords and Multi-Factor Authentication (MFA).

  • Confidentiality: All discussions during coaching sessions remain strictly confidential, unless disclosure is mandated by law (e.g., duty of care or immediate risk of harm).

5. Your Legal Rights (Access, Correction, and Complaints)

Under the Privacy Act 1988 (Cth), you hold specific rights regarding your personal information:

  • Access & Correction: You can request a copy of the personal information or coaching logs we hold about you, or ask us to update inaccurate records.

  • Data Erasure: You can request that we delete your booking profile or historical contact information, subject to statutory tax and financial record-keeping laws.

If you are unsatisfied with our response, you can escalate the matter to the Office of the Australian Information Commissioner (OAIC)
